WHAT YOU'LL DO
Executive Assistant Duties
Title: Executive Assistant
Job Level: Individual Contributor
Career Level: CL4
Salary Range: $75,000 - $85,000
Workplace Persona: Resident (in office 90-100%)
This position is eligible to participate in a company incentive program.

Executive Assistant Duties
- Proactively provide support in coordinating day-to-day business activities
- Maintain calendar and schedules. Proactively handle the calendar months out. Remove all schedule conflicts and resolve timely
- Compose and format documentation that may include PowerPoint presentations, excel documents, letters, and communication to employees
- Collect agenda items, share with the vital partners, take minutes, and follow up as needed
- Plan and handle events of all sizes including internal & external contact and customer meetings and visits
- Coordinate meetings and schedule conference rooms. Arrange conference calls and video conference meetings
- Own travel arrangements for both domestic and international trips, including visa processing/obtainment. Provide oversight travel arrangements, confirms reservations, and approves itinerary
- Coordinate the logistics for all business market trips for the attendees
- Prepare, review, and supervise expense reports timely and support the HEYDUDE Leadership team with travel and expenses
- Attend and participate in Executive Assistant meetings
- Provide support to other Executive Assistants as needed
- Coordinate operational projects for North American sales team.
- Support strategic sales initiatives and key account management activities.
- Help to refine leader and department communications, including presentations.
- Act as point of contact for Building Management (landlord) and for corporate facilities team members in other locations
- Supervise and support functioning of building systems including safety systems, kitchen facilities, office machines
- Understand and help to carry out applicable building rules and regulations
- Act as source of information for safety/evacuation plans
- Maintain adequate stock of office supplies
- Coordinate the assignment of office spaces
- Coordinate in-bound and out-bound shipping
- Attend to receptionist desk on occasion
- Meet with third party visitors
- Provide technical support or partner with IT (i.e., AV, computer, files)
- Maintaining and handling new office space
- Performs other incidental and related duties as required
- Minimum of 5 years of administrative assistant experience and office / project coordination
- Bachelor's degree preferred, but not required
- Strong PC skills including Outlook, Word, Excel, PowerPoint is a must
- Experience with Microsoft Teams is preferred
- Excellent communication skills (written and verbal)
- Exceptional attention to detail and organizational skills
- Shown ability to be proactive, flexible, efficient, and dedicated
- Takes initiative and works independently
- Comfortable interacting with all levels of employees in multiple locations
- Ability to handle confidential information
- Thrives in a position that requires a high degree of multi-tasking and ability to work in a fast-paced environment
- Ability to sit for extensive periods of time but may also be required to stand, walk, kneel, or balance
- Operate a computer for extensive periods at a time
- Ability to carry/lift up to 10 pounds and occasionally lift/carry up to 25 pounds
