We are looking for a dedicated Office Administrator. In this key role, you will provide a wide array of support to multiple members of the CapeAble's team which includes coordinating meetings and appointments, answering phones, creating documents (i.e., PowerPoints, agendas, etc.), and responding to emails.

Job description

- Telephones: Handle Capeable's phone system, ensuring that it's operating smoothly and fulfilling the company's needs.
- Reception: Sitting in our reception area, you'll handle duties such as greeting customers, visitors, signing for deliveries, receiving and distributing mail, and keeping the reception area neat.
- Office supplies: Maintain supply inventory levels and orders office supplies.
- Writing skills: Superior professional correspondence skills with internal and external customers. Highly experienced in PowerPoint creation to listen to leadership and translate to highly impactful sales presentation.
- Research skills: Has a comfort in understanding possibilities of gathering data sets to help support high powered entrepreneur to support sales goals and initiatives.
- Office equipment: Perform basic maintenance on equipment such as photocopiers and printers (or call in professionals to repair equipment as needed).
- Technology: Familiar with basic computer problems to help employees when they have computer issues. Experience with Facebook and inventory control systems that feed the back end web-based systems. Comfortable maintaining and administering basic system needs.
- Data: Organize records, data, and paperwork. Develop a comprehensive and easy-to-follow filing system for invoices, receipts, client information, and other important documents. Handle employee files.
- Meeting and event planning: May be responsible for on- and off-site meeting arrangements, as well as events such as exhibitions at trade shows; requiring a high degree of organization.
- Approachability: Help tackle any problem that comes your way with a smile. Have the ability to see the need to be done and comfortable with taking the steps to resolve. Highly motivated to see what needs to be done, handle it, and keep the team connected and communicated with.
We are looking for:
- High School diploma or equivalent, degree preferred.
- 3+ years of experience in an Office Assistant or similar position required.
- Knowledge of Microsoft Office Suite is required.
- Very good organizational and multitasking abilities.
- Customer service skills are a must.
- Strong problem-solving skills and ability to analyze situations and exercise good judgment in making a variety of decisions.
- Ability to work independently and effectively in a team in a fast-paced environmen.t
- Excellent oral and written communication skills.
- Ability to maintain strict confidentiality and work with sensitive personnel matters.
- Knowledge of office management practices and procedures.
